Invoice Template for Contractors (Free)
Use this invoice template for contractors to add your details, line items, discount and terms, then print it or turn it into a PDF. Free tool, no uploads.
An invoice template for contractors should get you from "job done" to "invoice sent" in a minute, with everything the customer needs to pay you. This one does that in your browser, with nothing to sign up for.
This free Invoice Template for Contractors from LiveFixPro Bookkeeping works as a simple invoice template for small business owners who bill by the job or by the hour. Add your details, line items, a discount, an extra charge and your payment terms, then print the invoice or turn it into a PDF.
It all happens in your browser, so nothing you type is uploaded or stored. Once the page has loaded it still works offline.
What goes on the invoice
From. Your business name and details.
Bill to. Who the invoice is for.
Invoice number and invoice date (MM/DD/YYYY).
Payment terms. Due on receipt, 15, 30, 45 or 60 days, or custom (describe it in the notes). The due date is worked out from the invoice date and the terms you choose.
Line items. Add as many as you need. For each: a description, a quantity and a rate. The amount is worked out for you.
Discount, optional, as a percent or a dollar amount.
An additional charge, optional, with your own name for it, such as "Delivery."
Payments or deposits already received, optional.
Notes and payment instructions.
Not sure how it will look? Load a sample fills it in for you. All names and amounts in the sample are invented.
The finished invoice
A clean invoice preview that updates as you type, showing your details, the line items, the subtotal, any discount and additional charge, the total, payments already received and the amount due.
Print or make a PDF. In your print window, choose the PDF option to get a file you can email.
Download the line items as a CSV. In that CSV, a line description that starts with =, +, - or @ gets an apostrophe in front so a spreadsheet shows it as plain text.
Legal wording and your own copy
The template doesn't write terms or legal language for you. If your business needs something on the invoice, add it as a line item or in the notes, and ask your accountant what applies. Because nothing you type is kept, file your own copy of every invoice you send.
Once the invoice is out the door
An invoice is only part of the job. A few habits keep your books in step:
Record the invoice in your accounting software the same day, so receivables stay accurate. In QuickBooks® you can create the invoice directly and email it.
Note the due date, and review unpaid invoices each week. Our Accounts Receivable Aging Report Template groups them by days past due.
When the payment arrives, apply it to the right invoice and deposit it, so Undeposited Funds stays clear. Our post on clearing undeposited funds in QuickBooks explains how.
Tips for a clearer invoice
Describe each line plainly. "Replace kitchen faucet" tells the customer more than "Labor."
Number your invoices in order, so you and your customer can find one quickly.
Put the due date and how to pay in the notes if they aren't obvious.
List deposits separately, so the amount due is clear.
Limits of the template
It makes a document and that's all. It won't send the invoice, collect payment or link to QuickBooks, and it isn't legal or accounting advice.

FAQ
What should an invoice template for contractors include?
Your business details, the customer you're billing, an invoice number and date, line items with quantity and rate, any discount or extra charge, payment terms and notes on how to pay. This template has a spot for each.
How do I get a PDF copy of the invoice?
Press the print button, then pick the PDF option in your browser's print window. The file it makes is the one to attach to an email.
Does the invoice include legal wording?
No. The template doesn't add any legal wording of its own. Anything your business needs can go in as a line item or in the notes, and your accountant can tell you what applies to you.
Do I need to enter an invoice date and terms?
The invoice date and terms are used to work out the due date. If you choose custom terms, describe them in the notes.
Is anything I type into the invoice stored?
No. Your browser builds the invoice and nothing gets uploaded, sent or stored, so file your own copy of each one.
