An accounts receivable aging report template groups your unpaid invoices by how far past due they are, so you can see at a glance what's current, what's late and what needs a call today.

This free Accounts Receivable Aging & Follow-Up Planner from LiveFixPro Bookkeeping builds that aging summary from the open invoices and due dates you enter, then lists who to follow up with, with the oldest invoice at the top.

It runs in your browser. Nothing you enter is uploaded, sent or stored, and it works offline once the page is open. Use business names or invoice numbers only, with no card numbers or personal details.

What the planner asks for

  • As-of date, in MM/DD/YYYY format. The date the aging is measured to.

  • Your open (unpaid) invoices, from your A/R aging report in QuickBooks® or anywhere else. For each one:

  • Customer or invoice

  • Open amount ($)

  • Due date (MM/DD/YYYY)

You can type the rows in, or paste them, one per line: customer or invoice, amount, due date. Rows that are missing an amount or a valid due date are left out, and the tool tells you how many. Want a quick look? Tap Load a sample. The sample data is made up.

What you get back

An aging summary, with cards for total open invoices, the past-due amount and share, and the amount over 90 days past due. A table groups your invoices into:

  • Not yet due

  • 1 to 30 days past due

  • 31 to 60 days past due

  • 61 to 90 days past due

  • Over 90 days past due

Each group shows the number of invoices, the amount and its share of the total.

A follow-up list, oldest at the top, with each invoice's open amount, due date, days past due and a suggested next step. Days past due is the as-of date minus the due date, using your own due dates. Print it or download a CSV. In the CSV download, a customer or invoice label that starts with =, +, - or @ gets an apostrophe in front so a spreadsheet shows it as plain text.

What the suggested next steps look like

The steps scale with how late an invoice is, from making sure the invoice went out, to a friendly reminder, to a personal call to confirm there is no dispute and ask for a payment date, to a firm written notice. For the oldest invoices, the planner suggests reviewing the account with your advisor before taking further steps. These are general bookkeeping habits, not legal advice. Check your own terms and your state's own resources before any collection step.

Keep receivables from piling up

  • Send invoices the day the work is done, with the due date clear.

  • Review this list on the same day each week.

  • Make sure customer payments are recorded against the right invoices in QuickBooks, so the aging report matches reality.

  • If old invoices look paid, check for unapplied payments and Undeposited Funds. Our month-end close checklist covers the check.

What this tool is not

FAQ

What is an accounts receivable aging report template?

A layout that groups the invoices customers still owe you by how far past due they are, such as 1 to 30 days or over 90. This planner builds the grouping from the open invoices and due dates you enter.

How do I read an aging report?

Start with the past-due total and the oldest group. Invoices in the older groups usually need a personal call, while newly late ones may just need a reminder.

Can I paste invoices from QuickBooks?

Yes. Paste one invoice per line with the customer or invoice, the amount and the due date, then add them to the list. Check each row, because rows missing an amount or valid due date are left out.

Are the follow-up steps legal advice?

No. They're general bookkeeping habits. Check your own terms and your state's own resources before any collection step.

Does the planner keep my invoice list?

No. It runs in your browser, and nothing you enter is uploaded, sent or stored.
