A profit and loss template for small business turns three kinds of numbers into one clear picture: what came in, what the product or service cost you to deliver, and what it cost to run the business. The result is gross profit, operating profit and net profit.

This free Profit and Loss Template from LiveFixPro Bookkeeping lets you rename the lines, add your own, compare against a prior period if you like, and see margins as a percent of revenue.

The calculations run on your own device. Your figures aren't sent, uploaded or stored, and the page works offline once it's open.

The numbers to bring

  • This period, for example "October 2026," and an optional prior period to compare.

  • Revenue lines. Sales, service income and other revenue to start.

  • Cost of goods sold lines. Materials and product costs, direct labor and freight in to start.

  • Operating expenses lines. Advertising, bank and card fees, insurance, supplies, rent, salaries and labor, software and subscriptions, utilities, professional fees, maintenance and repair costs, vehicle and fuel, and other expenses to start.

  • Other income. Interest earned to start.

  • Other expenses. Interest and one-time items. Interest paid to start.

The line names are common starting points. Rename them, delete the ones you don't use and add your own. Use your own numbers, for example from your bank or your QuickBooks® Profit and Loss report. To try it with example figures, tap Load a sample. The sample figures are invented for the demo.

The summary you see

A profit and loss summary for this period, and for the prior period if you entered one, showing:

  • Revenue and cost of goods sold

  • Gross profit and gross margin

  • Operating expenses

  • Operating profit and operating margin

  • Other income and other expenses

  • Net profit and net margin

Each line also shows its share of revenue. Print the summary or download a CSV. In the CSV download, a line or period name that starts with =, +, - or @ gets an apostrophe in front so a spreadsheet shows it as plain text.

How the profit lines add up

  • Gross profit = revenue minus cost of goods sold.

  • Operating profit = gross profit minus operating expenses.

  • Net profit = operating profit plus other income minus other expenses.

  • Each margin = that profit divided by revenue.

This is a planning summary from your numbers. It isn't a finished set of financial statements, and your accountant may adjust items.

Check it before you rely on it

  • Compare revenue with your bank deposits for the same period.

  • Make sure the bank accounts are reconciled, so expenses aren't missing.

  • Look for large "Other expenses" or uncategorized amounts and give them a proper category.

  • Run anything unusual past your accountant.

Using a prior period

Enter last month, or the same month last year, in the prior period column. The summary shows the two side by side so you can see which lines moved. Use the same line names for both periods, so the comparison is clean.

What the summary is not

This is a calculator that works from the figures you type. It doesn't read QuickBooks or your bank, and it can't review what you entered. It also isn't accounting or legal advice.
