Free Bank Reconciliation Difference Finder
Reconciliation won't balance? Enter your bank statement balance, book balance, deposits in transit and outstanding checks to find the difference and see where to look. Free tool.
You sit down to reconcile your bank account in QuickBooks, and the numbers won't match. The difference is some odd amount that makes no sense. You scroll the register, scroll the statement, and an hour later you're still not sure where the gap is.
This free Bank Reconciliation Difference Finder from LiveFixPro Bookkeeping helps you narrow it down. Enter your bank statement ending balance, your book balance for the same date, and any deposits in transit or outstanding payments. The tool shows your adjusted bank balance, the exact difference, and a short list of the most likely places to look.
Everything runs in your browser. The tool doesn't connect to your bank or to QuickBooks, and nothing you type is stored or sent.

How the calculation works
A bank reconciliation compares two numbers that should agree once timing is accounted for.
Bank side: your statement ending balance, plus deposits you've recorded that the bank hasn't posted yet (deposits in transit), minus checks and payments you've recorded that haven't cleared yet (outstanding items). That gives you the adjusted bank balance.
Book side: the ending balance in your QuickBooks register for the same date.
If the adjusted bank balance equals the book balance, you're balanced. If not, the tool shows the difference, calculated only from the numbers you enter.
What the hints mean
When there's a difference, the tool checks it against a few common patterns.
The difference divides evenly by 9. That's a classic sign of a transposed number, like entering 63 instead of 36, or 1,520 instead of 1,250. Look for an entry where two digits may have swapped places.
The difference matches one listed item. If the gap equals the amount of one of your deposits in transit or outstanding checks, that item may have actually cleared already, or it may be missing from your books entirely.
Half the difference matches one listed item. When a payment is entered as a deposit, or a deposit as a payment, the error shows up as double the amount. If half the gap equals an item, check whether that item has the wrong sign.
Always check the usual suspects. Bank fees, interest, and duplicate entries are some of the most common reasons a reconciliation is off. Look for small charges on the statement that never made it into the books, and for any transaction that appears twice in the register.
These hints point you in a direction. They can't see your actual transactions, so you still need to confirm the cause in your statement and register.
A simple way to use it
Have your bank statement and your QuickBooks register open for the same ending date.
Enter the statement ending balance and the register ending balance.
Add each deposit in transit and each outstanding check or payment as its own row.
Read the difference and the hints.
Fix the entry you find, then run the numbers again until it shows Balanced.
Reconcile weekly, not "someday"
Most reconciliation headaches come from waiting too long. When a few months pile up, a single missed fee or duplicate entry gets buried under hundreds of transactions.
A weekly habit keeps it manageable:
Pick one day each week to reconcile your main bank and credit card accounts.
Write down this week's difference, even when it's zero.
Compare it with last week's. If a gap shows up, you only have a week of activity to search through.
Fifteen minutes a week is far easier than a weekend of untangling old statements.
When it's more than a quick fix
Sometimes the difference isn't one typo. Maybe reconciliations were skipped for months, opening balances were never set up correctly, or transactions were imported twice. That's when a proper cleanup saves time.
LiveFixPro Bookkeeping offers a one-time books cleanup at $1,999 fixed to get your accounts reconciled and in order, and monthly bookkeeping at $499/mo to keep them that way. If you're not sure which you need, book a free consult and we'll look at it with you.
FAQ
What is a deposit in transit?
It's a deposit you've already recorded in your books that the bank hasn't posted yet, usually because it was made near the end of the statement period.
What is an outstanding check or payment?
It's a check or payment you've recorded in your books that hasn't cleared the bank by the statement date.
Why does a difference divisible by 9 suggest a transposed number?
When two digits in an amount swap places, the error between the right and wrong amounts always divides evenly by 9. It's a quick clue, not proof, so check the entries to confirm.
Does this tool connect to my bank or QuickBooks?
No. It only uses the numbers you type in, runs in your browser, and doesn't store or send anything.
How often should I reconcile?
Weekly works well for most small businesses. Comparing each week's difference with the week before makes problems easier to catch while they're small.
