The end of the fiscal year sneaks up fast, often with a bank feed full of uncategorized transactions and an undeposited funds balance nobody can explain.

If you've wondered how to close the year in QuickBooks Online without a last-minute scramble, the answer is to break the work into small weekly steps and start before the year ends.

This free QuickBooks Year-End Close Countdown Planner from LiveFixPro Bookkeeping does the scheduling for you. Enter your fiscal year-end date and tick the tasks you've already finished. The planner builds a dated, week-by-week schedule from today until you hand the books over, using only the tasks you still have open.

Everything runs in your browser. The tool doesn't connect to QuickBooks, and nothing you enter is uploaded or stored.

What the planner asks for

  • Fiscal year-end date. December 31, 2026 by default; change it if your fiscal year ends in another month.

  • Tasks already done. Tick any of these that are finished:

    • Bank and card accounts reconciled through year-end

    • Uncategorized transactions cleared

    • Undeposited funds cleared

    • Accounts receivable and accounts payable aging reviewed

    • Loan balances tied to statements

    • Owner draws and contributions recorded

    • Closing date and password set

What you get back

A week-by-week schedule. Week 1 starts today. Work you can do before year-end is spread across the weeks leading up to it. Reconciling bank and card accounts and tying out loan balances go in the week after year-end, when statements usually arrive. Setting the closing date comes next, and the final step is to save your reports and hand the books to your accountant.

A printable report list to run as of your year-end date and save:

  • Balance sheet

  • Profit and loss

  • Trial balance

  • General ledger

  • Reconciliation summaries for each bank and card account

Three ways to keep it. Print the schedule, download a calendar file (.ics), or download a CSV for your team, all built in your browser.

Why each step matters

Uncategorized transactions. Items left uncategorized make your profit and loss less useful.

Undeposited funds. Payments not matched to their deposits pile up and can make your bank balance look wrong.

Accounts receivable and payable aging. Old open invoices and bills are often duplicates, already paid, or never coming in.

Owner draws and contributions. Money between you and the business belongs in draws or contributions, not income or expenses.

Bank, card and loan balances. Reconciling and tying loans to lender statements gives you a balance sheet you can check against outside records.

Closing date and password. Closing date here means locking the books period in QuickBooks, not a government deadline. Entries dated on or before it can't be changed by mistake, and the password adds a second check.

Take it one week at a time

Work through the current week's steps, note what you found, and move on. The planner is a schedule built from your answers. It doesn't look at your QuickBooks file and can't promise the books will be correct, so review each step carefully or ask a bookkeeper to look things over.

FAQ

When should I start closing the year in QuickBooks?

Start a few weeks before your fiscal year-end. The planner spreads tasks like clearing uncategorized transactions and undeposited funds across the weeks before year-end, then schedules reconciliations for the week after, when year-end statements usually arrive.

What is the closing date in QuickBooks?

It's a date you set in QuickBooks to lock the books period. Entries dated on or before it can't be changed by mistake, and you can add a password for extra protection. It isn't a government deadline.

Which reports should I save at year-end?

The planner lists a balance sheet, profit and loss, trial balance, general ledger, and reconciliation summaries for each bank and card account, all run as of your fiscal year-end date.

Does this tool connect to QuickBooks or upload my data?

No. It only uses the date and checkboxes you choose, runs in your browser, and doesn't upload or store anything.

Will the planner make sure my books are correct?

No. It builds a schedule from your answers. It doesn't review your QuickBooks file, so check each step carefully or ask a bookkeeper for help.
