Accounts Payable Aging Template: Free Vendor Bill Tracker
An accounts payable aging template shows what you owe vendors and how late each bill is, so you can pay in a sensible order instead of by whichever email arrived last.
This free Accounts Payable Aging Template from LiveFixPro Bookkeeping groups your open vendor bills by days past due, shows what is due in the next 7 and 30 days, and lists what to pay or discuss, with the oldest bills at the top.
It works inside your browser, with nothing uploaded or stored and no connection needed once the page is open. Use vendor names or bill numbers only, with no bank or card numbers.
No account and no uploads. This tool sets no cookies and has no analytics of its own.
What to type in
As-of date, in MM/DD/YYYY format.
Your open (unpaid) bills, from your A/P aging report or typed in. For each one: the vendor or bill, the open amount ($) and the due date (MM/DD/YYYY).
You can paste bills in, one per line: vendor or bill, amount, due date. Rows that are missing an amount or a valid due date are left out, and the tool tells you how many. A tap on Load a sample shows how the aging groups fill in. Every vendor and amount in the sample is fictional.
What the aging view shows
Summary cards for total open bills, the past-due amount and its share, the amount over 90 days past due, and the amounts due in the next 7 days and the next 30 days.
An aging table grouping your bills into:
Not yet due
1 to 30 days past due
31 to 60 days past due
61 to 90 days past due
Over 90 days past due
A payment list, with the oldest bills at the top, showing each bill's open amount, due date, days past due and a suggested next step. Days past due is the as-of date minus the due date, using your own due dates. Print the list or download a CSV file. In the CSV file, a vendor or bill label that starts with =, +, - or @ gets an apostrophe in front so a spreadsheet shows it as plain text.
What the suggested steps look like
They scale with how late a bill is: schedule one that isn't due yet, pay or confirm a date for one that's slightly late, contact the vendor for one that's further behind, and review a long-overdue bill with your advisor to confirm it's still owed. These are general bookkeeping habits, not legal or financial advice. Check the terms on each bill.
Keep payables under control
Enter vendor bills in QuickBooks® when they arrive, so the A/P aging report is complete.
Review this list on the same day each week and schedule payments ahead of the due date.
Check each vendor statement against your open bills, and look for duplicates or bills already paid.
Keep cash in view. Compare what's due soon with your cash balance.
Payables or receivables?
Accounts payable is what you owe. If you want the other direction, what customers owe you, use our Accounts Receivable Aging Report Template.
What the planner won't do
The planner works only from the numbers you enter. It can't reach QuickBooks, pay a bill or contact a vendor, and it isn't legal or financial advice.
Want payables reviewed every month?
Monthly bookkeeping with LiveFixPro is $499/mo, and the free consult spells out the scope. If bills are piling up in your books, book a free consult and we'll review them with you.
FAQ
What is an accounts payable aging template?
A layout that groups the bills you owe vendors by how far past due they are, such as 1 to 30 days or over 90. This one builds the grouping from the open bills and due dates you enter.
How is accounts payable aging different from receivables aging?
Payables aging covers bills you owe to vendors. Receivables aging covers invoices customers owe you. This template is for payables.
What does the due in 7 days and 30 days figure show?
The total of open bills due in the next 7 days and the next 30 days after your as-of date, so you can compare it with your cash.
Are the suggested steps financial or legal advice?
No. They're general bookkeeping habits. Check the terms on each bill.
Are my vendor bills uploaded anywhere?
No. Bills are handled in your browser only, with no upload, transfer or storage. Use vendor names or bill numbers, not bank or card numbers.
