Free QuickBooks Desktop to Online Move Planner
Still on QuickBooks Desktop? Pick your edition and the features you use to get a review checklist and a dated week-by-week plan for moving to QuickBooks Online. Free tool.
If your business still runs on QuickBooks Desktop 2023, the clock has already run out on support. According to Intuit's QuickBooks Desktop 2023 service discontinuation policy, that version stopped getting support after May 31, 2026. Intuit's page lists what goes with it, including live technical support, connected services like Desktop Payroll, Desktop Payments and online bank feeds, and critical security updates.
Some businesses upgrade to a newer Desktop version. Others move to QuickBooks Online. If you're leaning toward Online, knowing where to start can be the hardest part.
This free QuickBooks Desktop to Online Move Planner from LiveFixPro Bookkeeping gives you a starting point. Pick your Desktop edition, tick the features you use, and choose a target switch-over date. The tool builds a short review checklist and a dated, week-by-week move plan you can print or add to your calendar.
Everything runs in your browser. The tool doesn't connect to QuickBooks, and nothing you enter is uploaded or stored.
What the planner asks for
Desktop edition: Pro, Premier, Enterprise or Mac.
- Features you use: inventory, payroll, multiple currencies, classes or locations, custom reports, memorized transactions, job costing, third-party add-ons, attachments and budgets.
- Years of history to keep: how far back you want your records to go.
- Number of users: who needs access after the move.
- Target switch-over date: the day you plan to work fully in QuickBooks Online.
What you get back
A review checklist. For each feature you tick, the planner adds a reminder to check how it works in QuickBooks Online before you move. Desktop and Online are different products, and some features, settings and reports may work differently or may not carry over exactly. The checklist flags the areas to look at. It isn't a full list of every difference, so confirm the details for your own file.
A week-by-week plan. Working back from your target date, the planner lays out six weeks of steps:
Back up your company file and keep a safe copy.
Clean up: close old items, fix duplicates and reconcile accounts.
Check lists and balances: customers, vendors, items and opening balances.
Move your data to QuickBooks Online.
Compare reports (P&L, Balance Sheet, A/R and A/P) between both systems.
Run both side by side and record new transactions in both.
Cut over and switch fully to QuickBooks Online.
You can print the plan or download it as a calendar file, so each step lands on the right week. If your target date is too close for the full plan, the tool warns you that some steps fall before today.
Why cleanup comes before the move
Moving messy books just gives you messy books in a new place. Duplicate vendors, old open invoices and unreconciled accounts all travel with the file. Cleaning up before the move gives you a clearer starting point and makes the after-move comparison easier, because you know what the numbers should look like.
Check everything after you switch
No move is risk-free. Some data or settings may not come across the way you expect, so plan time to compare the two systems before you stop using Desktop. Run the same reports in both for the same dates, and check that key balances agree: bank accounts, receivables, payables and equity. Keep your Desktop backup safe even after the switch, in case you need to look something up later.
Take it one week at a time
Work through one step each week, write down what you checked, and move on when it's done. A steady weekly pace gives you room to catch problems before you rely on the new file every day.

FAQ
Did support for QuickBooks Desktop 2023 really end?
Yes. Intuit's service discontinuation policy says QuickBooks Desktop 2023 stopped getting support after May 31, 2026. Check Intuit's page for the full list of affected products and services.
Will all my data move to QuickBooks Online?
Not always exactly. QuickBooks Desktop and QuickBooks Online are different products, so some data, settings and features may work differently or may not carry over. Compare your reports and balances in both systems after the move.
How long should I plan for the move?
The planner lays out six weeks of steps before your switch-over date, one step per week. You can choose a different target date to fit your own schedule.
Does this tool connect to QuickBooks or upload my file?
No. It only uses the choices you make on the page, runs in your browser, and doesn't upload or store anything.
Should I clean up my books before moving?
It helps. Fixing duplicates, closing old items and reconciling accounts before the move gives you a cleaner file to compare against afterwards.
